Office Manager - Cape Coral

We are looking for a bilingual in English/Spanish Office Manager to help us take over the Cape Coral real estate market by providing excellent service to our amazing agents and brokers.

The Office Manager is responsible for being the friendly face and voice that assists visitors, guests, and employees.

We are also moving in June to a beautiful and modern office location at 3637 Del Prado Blvd!!

Essential Functions:

  • Meet, greet and make all visitors feel welcome; schedule appointments
  • Operate multiple-call telephone console and route calls to appropriate people in accordance with company guidelines
  • Quality Assurance - Maintain appearance of reception area and office
  • Operate office equipment, copy machines, sort and distribute mail
  • Uploading credit card and check information for processing
  • Assisting compliance with check distribution
  • Receives, sorts, and distributes incoming mail
  • Prepares and sends outgoing mail
  • Perform general office administrative tasks such as ordering and maintaining an inventory of office supplies and equipment
  • Train new agents in transaction management software and MyPremierePlus.com
  • Route walk-in and phone leads through our online lead system.
  • Maintain the office calendar
  • Produce and distribute Office Newsletter with Manager approval
  • Send out agent communications for office concerns, i.e. receivables, invitations to office meetings via email, etc.
  • Coordinate/schedule office meetings via email
  • Coordinate office meetings and social events
  • Daily timecard entry
  • Setup for weekly Office Meetings and Training
  • Works with various PPR departments, Accounting, Compliance, Communications
  • Support Company-sponsored programs throughout the year i.e. Toys for Tots
  • Understands, displays, and embraces the company’s culture
  • Other duties as assigned

Organizational Relationships:

Has frequent contact and communicates continuously with visitors, customers, agents, employees and vendors.

Qualifications:

  • One year of experience in the real estate field. 
  • Ability to speak, read, write, and understand Spanish
  • High school graduation or equivalent, plus a minimum 1 year of administrative support experience
  • Proficiency in Microsoft Office products (including Word, Excel, PowerPoint, and Outlook)
  • Ability to foster strong customer, agent, and vendor relationships
  • Strong presentation and facilitation skills; excellent verbal and written communication skills

Desired:

  • Associate’s degree or completion of some college courses

Knowledge/Skills/Abilities:

  • Strong organization skills with an attention to detail
  • Willingness to “roll up the sleeves” and do what it takes to get the job done
  • Works well on a team and collaborates with others
  • Finger dexterity to operate standard office equipment including telephones, calculators, copiers, and facsimile equipment
  • Ability to interact with employees and vendors in a professional and courteous manner
  • Ability to effectively manage tasks with minimal supervision
  • Must be diligent and persistent in follow-up and completion
  • Capable of multi-tasking and meeting tight deadlines
  • Able to function in a fast-paced environment
  • Strong working knowledge of Windows/Mac operating system-experience
  • Requires proficiency in Microsoft Office applications
  • Ability to type at a net rate of 35 wpm using a computer keyboard

Additional Information

Physical Demands & Work Environment:

The Office Manager must be able to bend, stoop, stand, and sit for various lengths of time. They must be able to pick up items to 20 lbs. A clear speaking voice is necessary along with finger dexterity.

This is primarily a sedentary office classification and employees work in an office with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
 

Cognitive Demands:

The Office Manager is able to multi-task various projects at once while maintaining a friendly, agent/customer-centric, and professional demeanor and appearance. This person has to love helping agents grow their business.



Weekend Agent Support - North Naples Office

Real estate doesn't stop over the weekend, and neither do we! We are looking for a bilingual in English/Spanish Weekend Agent Support person to provide excellent service to our amazing agents and brokers. This is a Friday-Sunday position. 9:00 AM - 5:00 PM
